Copy an Email Template

Copying an email template allows users to create an exact replica of their existing email template within a study. The copied template will include all elements, formatting, links to surveys, participant variables, and settings like the "Automatically Send Based on" date. Once duplicated, each template can be modified independently without impacting the other. This feature helps users quickly create multiple, similar templates to save time and streamline their workflow.

Steps to Copy an Email Template

  1. Save Your Changes:
    If you’ve made any edits to the template, ensure you save your changes before copying.

  2. Access the Template:
    Open the email template you wish to copy within your study.

  3. Scroll to the Bottom:
    Locate the copy options at the bottom of the template page.

  4. Select a Copy Option:
    Choose one of the following buttons:

    • Copy Template (red):
      • Creates a duplicate of the template.
      • Keeps the original template open for further editing.
    • Copy Template & Close (green):
      • Creates a duplicate of the template.
      • Closes the original template and returns you to the list of templates.
  5. Repeat if Needed:
    To create multiple duplicates, click the copy button again for additional replicas.
  6.  Locate the New Template:
    • Once the template is closed, go to your list of templates.
    • The duplicate will be named “Copy of (your original template name).”

NOTE:  Once a template is copied, you can modify the duplicate without affecting the original, allowing flexibility in managing email templates. 

IMPORTANT NOTES:

  • Participant Variables: Duplicating the template will also duplicate variables like {%raw%}{{event name}} and {{event_scheduled_date}}, as well as the “Automatically send based on” date.
  • Check for Updates: If you’re copying the template for a new event, verify that the event name and date are updated to match the new event.

By following these steps, you can efficiently manage and reuse email templates for multiple purposes.

Copy an Email Template Into a Different Study

The Copy Template buttons only allow you to duplicate templates within the same study. If you need to use an email template in another study, you can do so by exporting and importing the study settings.
