Creating and Managing Tasks in Ripple
Ripple’s Task feature is designed to keep your research team organized by tracking to-do items across participants, recruitment efforts, and general study operations. Tasks promote accountability, ensure timely follow-ups, and support consistent workflows for all team members.
What Is a Task?
A Task in Ripple is a to-do item for staff members. Tasks may be assigned to Ripple users and can be given a due date. Tasks often involve administrative or operational actions, such as:

Preparing forms

Confirming participant appointments

Following up with referral sources

Shipping study materials

Printing flyers or study handouts
Types of Tasks
There are four types of tasks available from the Tasks tab in Ripple:

Recruitment Site Tasks | Linked to a specific recruitment site | Follow up with Dr. Ross at Hospital A about referrals |
Recruitment Strategy Tasks | Linked to a specific recruitment strategy | Print more flyers for campus outreach |
Participant Tasks | Linked directly to an individual participant | Call John Deere to reschedule the Baseline Visit |
Miscellaneous Tasks | General study-related tasks not tied to recruitment or participants | Order more study gift cards |
Creating a Task
Option 1: From a Participant Profile

Navigate to the participant’s profile card.

Click the Tasks tab.

Click + Add Task.

Enter the task details:
- Title (required)
- Participant (pre-filled)
- Status (assigned, unassigned, in-progress, completed)
- Due Date (optional but recommended)
- Assigned To (select one or more team members)
- Description-brief summary of the task
- Click Save Task.
📎 Tasks created this way are automatically linked to that participant.
Option 2: From the Task Management Tab

Go to the Tasks section from the left navigation panel.
- Choose what kind of Task to create:
- Recruitment Strategy Task
- Recruitment Site Task
- Participant Task
- Miscellaneous Task

Click + Add Task.

Enter task information:

- Title (required)
- Participant (required if creating a Participant Task)
- Status (assigned, unassigned, in-progress, completed)
- Due Date (optional but recommended)
- Assigned To (select one or more team members)
- Description-brief summary of the task
Navigating and Filtering Tasks
From the Tasks tab, you can manage all team tasks in one place.
You can:

View Tasks Page by choosing one of the following:

All Tasks

Recruitment Strategy

Recruitment Site

Participant
- Miscellaneous Tasks

- Sort by Due Date-click arrow to organize list ascending or descending order
- Filter by Assignee
- Show by Task Status: Open, Closed, or All
Updating or Completing a Task
To modify or complete a task:

Click the task to open its details.

Edit as needed
- Update or add a Description

Reassign the task
-
Add a comment
- Comment can be Pinned.
- Notify -Send email notification to Team.

Update the due date.

Check the box next to a Task to mark it done.

To reopen a completed task, uncheck the box to mark it Incomplete.
Task Management Best Practices

Use clear titles that reflect the task type and urgency (e.g., “Email Site Coordinator – Final Visit Confirm”).

Assign tasks to the appropriate team member to improve accountability.

Set due dates to prioritize tasks and prevent delays.

Use filters during team meetings to review open items and adjust workloads as needed.
Task Notifications
If you have Task notifications enabled in your My Account settings, you'll receive an email notification whenever another team member assigns a task to you. However if you assign yourself a task, an email is not generated. Additionally, if you have Daily Digest enabled, you'll receive a daily summary email that includes your upcoming and overdue tasks.
Permissions and Access
Only users with the appropriate permissions can create, edit, or assign tasks. If you don’t see these options, please contact your Ripple administrator to review your role settings.
