Viewing Global Log Entries Across Studies

By default, log entries in Ripple—including Comments, Emails, Texts, Contact Logs, Consent Logs, and Forms—are study-specific. This means they are only visible within the study where they were created. This helps protect sensitive study-related or participant information and ensures compliance with privacy protocols.

However, in some cases, it can be helpful to view a participant’s log entries from other studies. This allows teams to:

  • Understand communication history across all studies

  • Avoid duplicate or excessive contact

  • Coordinate participant engagement more effectively

To do this, Ripple allows users to mark certain logs as Global so they can be accessed from the Registry and other studies where the participant is enrolled.

What Is a Global Log?

A Global Log is a log entry that is visible across all studies the participant is in, including the Registry view. These logs can be used to share information like:

  • Notes about communication outcomes

  • Email or text content

  • Contact attempts

  • General updates that may be relevant across studies

Sensitive content (such as study-specific information or personal health details) should not be marked as global unless you have the appropriate permissions.

When Not to Use Global Logs

Before making a log entry global, consider the following:

  • Does it include Personally Identifiable Information (PII) or Protected Health Information (PHI)?
    Avoid sharing sensitive information unless your IRB or organization explicitly allows it.

  • Is the content specific to a particular study or protocol?
    If the log is only relevant within a single study context, it’s better to leave it study-specific.

⚠️ Some institutions or IRBs prohibit sharing PII or PHI across studies or sites. Always verify your permissions before making logs global.

How to Make a Log Entry Global

You can mark a log as global when you are creating or editing it. Here's how:

Step-by-Step: Marking a Log as Global

  1. Navigate to the Participant Profile Card in your current study.

  2. Select the relevant tab (e.g., Comments, Email, Text, Contact, Consent, or Forms).

  3. Click Add to create a new log entry.

  4. Fill out the log details.

  5. Locate the checkbox or option labeled Global Log (may vary depending on log type).

  6. Check the box to mark the log as global.

  7. Click Save.

Once saved, the log will be visible in the participant's profile in the Registry and any other studies where global logs are enabled.

How to View Global Logs in Another Study

To view global logs from other studies:

  1. Navigate to the participant’s Profile Card in your current study.

  2. Scroll to the relevant section (e.g., Comments, Text, etc.).

  3. Look for entries labeled with a “Global” tag followed by the originating study name.

    • Example: Global – Study A

  4. These entries are visible in addition to any study-specific logs.

If you don’t see global logs, check with your study administrator to ensure that permissions are configured to allow visibility of global entries.

How to Identify a Global Log

  • Global Logs will display a tag labeled “Global – [Study Name]” next to the entry.

  • Study-Specific Logs will appear without any tag.

This tag helps clarify where the log was created and whether it will be visible across studies.
